Five blueprints

No client references. Full disclosure instead.

Five systems as we would build them — with the process, the architecture, the integrations and the metrics you would have to measure them against. If you want to know how we think, you will find it here in full rather than in a row of logos.

Solution blueprint: a fully worked example system, not a delivered client project. The processes, architectures and metrics show how we would build such a system — they are not measurements.

NeXsoft is young. There are no completed client projects we could point to — and we do not invent any. What we can show instead is every decision we would take in a project of this kind.

01AI Process Automation

Intelligent Order Processing

Emailed PDF orders become checked orders, with human approval where it counts.

Customer orders reach your organisation as an email with a PDF attached, each sender using their own layout. A member of staff opens the attachment, reads out the customer details and line items, transfers them into the order system and matches article numbers against the master data. The work is repetitive but demands full attention, because a transposed digit may only surface at dispatch.

02Custom Business Software

Internal Operations Platform

One core process that currently lives in spreadsheets, email and single tools, rebuilt as one application with roles, workflow and a shared overview

A process that matters to the business sits in a spreadsheet, a shared mailbox and several separate tools at the same time. The overall status exists only when someone assembles it by hand, and responsibilities hold because people know them, not because a system enforces them. When someone is away or leaves the organisation, part of the process leaves with them.

03Technical Operations

Technical Service Intelligence

The asset file in the technician's hand, network or not

A service technician stands in front of a machine and needs details that sit in the manual, the service history and the technical documentation. Those documents are in a folder in the van, in the scheduler's mailbox, or on a drive that has no connection on site. What actually happens during the visit is transferred into a form later, from memory.

04AI Process Automation

Document Operations

Recognise documents, check them and write the results back into your existing systems

Documents arrive from several directions: as attachments in a mailbox, as scans from a multifunction device, as forms from a portal. Each one is opened, read, assigned to a document type and then retyped into another system. Who handled which document, and when, can afterwards only be reconstructed from folder structures and email threads.

05Custom Business Software

Customer Operations Portal

one access point where customers see their own cases, documents and messages

Customer enquiries arrive by phone, email, post and web form, and end up in different mailboxes and systems. The case status sits in the ERP, the documents in the DMS, the correspondence in a mail client — and the customer sees none of it. So they ask, and someone on your team assembles the answer from several windows.

Your process is not one of these five?

That is to be expected. The blueprints show the pattern, not the catalogue. Describe what is done by hand in your organisation today.
